How to Build a Knowledge Base for AI Customer Support
The knowledge base connects an AI support assistant to the real business. When facts are structured, current and easy to retrieve, answers become more consistent and easier for the team to govern across channels.
Start with facts customers actually ask about
Create clear sections for services, products, prices, policies, opening hours, locations and FAQs. Do not bury an important operational fact in a long document when it can be represented clearly and updated independently.
Separate policy facts from marketing language
Marketing copy can explain value, while returns, prices, appointment rules and restrictions need precision. Separating operating facts from promotional language reduces ambiguity in customer answers.
Assign ownership and review dates
Decide who maintains each information family and when it should be reviewed. Stale knowledge can be worse than missing knowledge because it may produce a confident answer that is no longer correct.
Test with customer questions, not document titles
Ask the same thing in different real-world phrasings and verify that the correct facts are retrieved. Include follow-up questions and watch which cases escalate because the knowledge is incomplete.
Reuse the same knowledge across channels
